Supervisor of Facilities, 40 HRs/Week, Day Shift (8AM to 5PM), Weekends As Needed, Holidays As Needed

Assists the Director with planning of work scheduling and supervises work and assignments. Manages facility administrative functions including work order management, coordination and payment of contracted work and regulatory documentation for St. Elizabeth’s Medical Center.

  • Supervises and schedules projects utilizing staff and materials in an efficient manner at the direction of the Facilities Director.
  • Supervises the Maintenance Scheduler
  • Coordinates departmental trainings and maintains competency files
  • Provides back-up support to the Maintenance Scheduler for time card entry and final Approval for all department timecards
  • Completes initial phone screens for prospective candidates
  • Support the Facilities Director in the role of facility and construction compliance and obtain quotes as necessary
  • Supervises the department and approve emergency quotes for material and vendors in the absence of the Facilities Director
  • Coordinates with Human Resources to maintain policies and procedures
  • Assist in identification of safety issues, coordination of the Environment of Care and Life Safety rounds and Management Plans documentation
  • Assists in the coordination of maintaining the proper documentation to be Joint Commission Survey ready at all times
  • Works with the Facilities Director to ensure that all regulatory books and manuals are correct and up to date; ensure that all regulatory timelines and deadlines are met and the appropriate work, test, and maintenance is coordinated and properly documented; Maintain all regulatory records permits and licenses
  • Works with off-site property managers to obtain regulatory testing documentation to file
  • Gathers all PCRA (Pre-construction Risk Assessment ) and/or ICRA (Infection Control Risk Assessments) and puts in our books and file on-line
  • Gathers all ILSM (Interim Life Safety Measures) and puts them in our books and file on-line
  • Assist in performing daily inspections and gather documentation of construction sites
  • Works with Steward Security to obtain all fire drill information to file for the main campus and property managers for satellite locations
  • Processes invoices and manage cost centers for Facilities cost centers
  • Organizes and assists in the processing and acquisition of Purchase Orders
  • Works in conjunction with the Facility Director to maintain and prioritize the Grand PM Work Order System, corrective work orders and preventative work orders
  • Schedules and communicates work in conjunction with the Facility Director with outside contractors and internal stakeholders
  • Maintains current schedules and directories of contractors and vendors
  • Participates in PTP (Pre Task Planning)
  • Provides superior customer service to internal and external clients, customers and patients as referenced in the Service Excellence Standards
  • Participates in maintaining policies and compliance with such policies
  • Provides for effective problem resolution within established guidelines
  • In coordination with the Facility Director responsible for maintaining On-Call schedules with all departments
  • Works collaboratively with union officials to promote a healthy work environment
  • Reports immediately any deviation of normal operations to the Facility Director
  • Supports leads in inventory management
  • Performs related duties as needed

Minimum Education:

  • Bachelor’s or Associates Degree or equivalent education or experience

Minimum Experience:

  • 1-2 years experience in a Lead or Supervisory capacity
  • 2-3 years in an administrative / hospital facilities department preferred
